Would you like to organize an activity inside or outside ULiège buildings?

The University has set up a specific procedure for managing such requests. This procedure standardizes the reservation request process, and centralizes and facilitates the exchange of information relating to these requests. The conditions of acceptance for the organization of events have not been modified, but have been clarified.

All requests to organize an activity (excluding courses), indoors (rooms and common areas) and/or outdoors, must be submitted via the SAM platform no later than 10 working days before the event.

The request will then be forwarded to the various parties involved in the validation process for evaluation and processing, before a final decision is taken (approval or refusal). You will be able to follow the progress of your request at every stage, and interact with the managers.

We would like to draw your attention to the following points, which must be noted before submitting a request:

  • This form for reserving premises is reserved for student clubs recognized by the Fédé, although this legitimization is not sufficient to validate the request;
  • The organization of any activity on university premises requires the prior written agreement of the building's Administrative Director;
  • The agreement is conditional on the appointment of a student referent who will be present on site for the duration of the event, and will ensure that the consumption of alcoholic or fermented beverages remains reasonable and moderate, and that non-alcoholic beverages and snacks are also offered in sufficient quantity. This student is also responsible for calling the Poste Central d'Alarme (04/366.32.34) in the event of a problem.
  • People from outside ULiège are not authorized to take part in festive student events organized on the Institution's sites. Access is authorized for seminars and conferences;
  • Students are forbidden to bring in, consume, distribute or sell alcoholic beverages, fermented beverages or food on the Institution's premises and sites. However, this prohibition may be lifted in special circumstances with the explicit prior agreement of the Dean (for faculty student circles) or the Administrator (for interfaculty student circles and events organized in a building not specifically assigned to the faculty on which the circle depends), who will specify the limits of this exception (location, duration, etc.).
  • The institution reserves the right to refuse occupancy of the premises for the following reasons, without this list being exhaustive
    • Unavailability of premises on the date requested;
    • Security risks;
    • Risk of damaging ULiège's image;
    • Non-contradictory debates or themes contrary to ULiège values.
  • The institution also reserves the right to impose special security arrangements, at the expense of the student group organizing the event, if there is a risk of unrest during the event (linked to the theme of the event and/or the people invited), or depending on the building occupied.
